Why templates exist
WhatsApp built templates to stop businesses from spamming people the way SMS and email marketing historically did. If you want to message a customer who has not texted you in the last 24 hours — a shipping update, an appointment reminder, a re-engagement offer — that message must use a pre-approved template. Free-form text only works inside an open customer-initiated conversation.
The three template categories
Every template you submit gets classified into one of three categories, and Meta — not you — makes the final call, regardless of what you select at submission.
- Utility — transactional updates tied to a specific transaction the customer already agreed to, like order confirmations, delivery status, or appointment reminders
- Authentication — one-time passcodes and login verification codes, with a locked format and no customization of the body text
- Marketing — everything else, including promotions, announcements, newsletters, and re-engagement messages
Why the category you pick matters financially
Utility and authentication conversations are priced lower than marketing conversations in most markets, and the gap is not small. Businesses that mislabel a promotional message as "utility" to save money get templates rejected, and repeat offenses damage the WABA's standing with Meta. Label honestly; the cost difference is the price of the category, not a loophole.
Building a template that gets approved on the first try
Most rejections come from a handful of avoidable mistakes. Templates are reviewed by a combination of automated systems and human reviewers, usually within minutes to a few hours.
- Write the body text exactly as it will be sent — no placeholder brackets left in like {{example}} without a sample value supplied
- Keep variables ({{1}}, {{2}}) to the minimum needed; templates stuffed with variables read as spam to reviewers
- Avoid ALL CAPS, excessive emoji, and exclamation points in utility and authentication templates
- Include a clear business reason for the message — customers should recognize why they are being contacted
- Add an opt-out line on marketing templates to keep your quality rating healthy
Keeping a template library your team can actually use
Teams that scale past a handful of templates run into a second, quieter problem: nobody can find the right one when a customer is waiting. A shared inbox that surfaces templates by category and lets agents fill in variables inline — rather than digging through Meta Business Manager — is usually the difference between a 30-second reply and a 5-minute one.
